Nature of Work

 

Employees in this classification assist school office operations in a variety of ways depending upon the size of the school and age of the students. Primary activities associated with the job include the maintenance of all student records including enrollment information, attendance and truancy records, disciplinary actions, grades, and medical information. Incumbents may also assist with office management duties, answer incoming calls, maintain communications with parents regarding the status of their child, and receive students, teachers, parents, and visitors as they enter the office. The maintenance of medical records and administration of medicine and limited first aide to sick and/or injured students may be required in some instances. Performance is reviewed through review of the accuracy of records and data, observation of the level of service to clientele, staff, and the public and the overall efficiency of office operations.

 

Illustrative Examples of Work

 

-Maintain new enrollment and student withdrawal information in a database.

-Record daily attendance and enters absences into the student information system (Aspen).

-Enter all tardy students and early dismissals into the database utilizing a sign in/out log sheet.

-Issue five and ten day truancy letters and sends copies to appropriate truancy and Family Resource personnel.

-Distribute grade card entry sheets to teachers, enter grades into a database, and distribute grade entry verification lists to teachers for additions and corrections. 

-Maintain and verify information for the free and reduced lunch program and prepares rosters for the cafeteria manager.

-Answer incoming calls, takes messages, provides assistance and information or refers to the appropriate party for resolution. -Greet parents, students, visitors, and vendors as they enter the main office.

-Make copies of documents, fliers, informational materials, etc. as required.

-Attend to the needs of students who become ill during the school day to insure proper care.

-Type routine correspondence, prepare lists, assist in file maintenance, and perform other general office duties as required.

-Maintain logs of medicines received from parents and students and administer medicine to students as prescribed.

-Assist faculty and support staff with special events and activities.

-Perform basic first aid procedures on students who become ill or injured during the school day.

-Relay messages to students and run errands in the school to contact staff or assist in school activities.

-Perform related duties as required and assigned by the building principal.

 

Necessary Requirements of Work

 

Graduation from an accredited high school or GED program, experience working with the public and in an office environment, strong interpersonal and organizational skills or any equivalent combination of education and experience to provide the following knowledge, abilities, and skills:

 

-Knowledge of the Jefferson County public school policies and procedures pertaining to student attendance and absence from school.

-Knowledge and experience with contemporary office equipment including multi-line telephones, copiers, FAX machines, public address systems, and computer terminals.

-Knowledge and experience with current software applications including database management and spreadsheets.

-Knowledge of conventional office management procedures and practice including file maintenance, basic budgetary practices, and information management.

-Ability to create and maintain detailed files and related information in an organized and accessible manner. -Ability to respond quickly and effectively to different job demands and pressures.

-Ability to interact in a professional and tactful manner with students, parents, staff, and the public in person and on the telephone.

-Ability to empathize with students who become sick or injured during the school day and administer basic first aid and/or medication if necessary.

-Ability to perform the physically demanding aspects of the job.

-Skill in the operation of contemporary office equipment.

-Skill in the use of current software applications including database management and spreadsheets.
